Discord Roles Guide: How to Set Up and Manage Roles

How Discord roles work and how to assign them automatically, by self-selection or for a limited time with Kage Bot.

Updated: 13 October 2026

Roles are the backbone of every Discord server. They decide who sees which channels, who may post, who moderates and how members appear in the member list. Assigning roles by hand stops working as the member count grows. With the right mechanisms most of it runs by itself.

How roles work on Discord

  • Permissions: A role bundles permissions. A member has the combined permissions of all their roles.
  • Visibility: Channel permissions decide which role sees and can write in which channel.
  • Hierarchy: Roles are ordered. A role can only manage roles below it. That applies to bots too: a bot can only assign roles below its own highest role.
  • Looks: Colour and display in the member list help with orientation.

You create roles in the server settings under Roles and assign them there by hand. That is enough for moderation teams, but not when every newcomer needs a starter role or members should choose their interests themselves.

Which method fits when?

  • Every newcomer gets the same role: Auto-Roles. The role is assigned on join.
  • Members choose themselves, simply, via emoji: Reaction roles. React to get the role, remove the reaction to lose it.
  • Members choose themselves, with rules: Role Panels with buttons or a dropdown menu. You can limit it to one role at a time, set a maximum, make roles time-limited or require a minimum level.
  • A role for a limited time only: Temporary roles, for example for events or trial periods.
  • Absences in your team: With the absence list members register for a period, optionally with a role for the duration.
  • A role after confirming the rules: Verification.
  • A role for reaching a level: In the Levels & XP module you set level rewards. Whoever reaches a given level automatically gets the role.

The most common source of errors: role order

When a bot does not assign roles, the cause is the order of the roles in most cases. In the server settings under Roles, move the bot's role above all roles it should assign, and give it the Manage Roles permission. For detailed troubleshooting see Discord bot not giving roles.

A good role structure

  • Few, clear roles. Every role should have a purpose. Too many roles confuse members and team.
  • Hand out permissions sparingly. Self-selectable and automatically assigned roles should never carry moderation or admin permissions.
  • Separate permission roles from interest roles. That way a choice of interests never changes who can moderate.
  • Document the structure. A short channel explaining what each role means saves your team questions.
